Put a Reorder Button on Every Part

How connected labels can turn equipment, components, and supplies into direct links between the shop floor and the systems that run the business.

A machine goes down. A technician identifies the failed component, but the part number is worn, the manual is somewhere else, and the person who ordered the last replacement is not available. The technician takes a photo, sends it to a supervisor, and waits while someone searches an ERP, calls a supplier, or digs through an old purchase order.

The company may have good software. It may have an ERP, an inventory system, a customer portal, and a complete digital product catalog. But at the moment the worker needs help, none of those systems are connected to the physical part in front of them.

That is the gap scan-and-reorder can close.

By placing a QR code or barcode on a component, package, shelf, bin, or piece of equipment, a manufacturer can give that physical item a direct path into the right digital workflow. One scan can identify the item, open its documentation, start a service request, contact the right person, or begin an approved reorder.

The label is simple. What matters is the system behind it.

The Missing Link

ERPs are designed to connect functions such as inventory, purchasing, sales, production, and finance around shared data. In a well-integrated system, a sales order can update inventory and inform production planning in real time. Yet access to that information often begins at a desk, inside a particular application, or with someone who knows how the company names and organizes its products.

Workers on a plant floor do not always know the catalog name, SKU, model, or approved supplier for the item they are holding. They know that a seal is leaking, a motor has failed, or a bin is nearly empty.

The usual response is a chain of small manual steps:

  1. Identify the item.
  2. Find the correct part number.
  3. Locate a manual, supplier, or previous order.
  4. Ask for a price or verify availability.
  5. Get purchasing approval.
  6. Enter the request into another system.
  7. Follow up until the part arrives or service is scheduled.

Each step creates another place for delay, incomplete information, or a wrong part number. Scan-and-reorder does not eliminate the company’s purchasing rules. It gives workers a faster, cleaner way into them.

One Scan, Several Paths

The best scan experience is not simply a QR code that opens a generic product page. It is a mobile action page for the exact product, part, asset, or location.

Depending on the item and the user, that page could provide:

  • The part name, image, SKU, serial number, and compatible assemblies
  • Current availability, lead time, and account-specific pricing
  • A reorder button or structured request-for-quote form
  • A service, warranty, or replacement request
  • A direct connection to the assigned salesperson or purchasing manager
  • Installation instructions, safety information, drawings, and PDF spec sheets
  • Maintenance history and open work orders
  • Recommended accessories, consumables, or replacement kits
  • An AI assistant that answers questions from approved product documentation

The action should match the purchase. A standard consumable may go directly into a cart. A restricted item may create a request for an authorized buyer. A configured or high-value component may begin an RFQ, quote, and purchase-order process. The goal is not to bypass procurement. It is to remove unnecessary searching and re-entry before procurement begins.

How It Connects

A scan-and-reorder system typically has five connected layers.

1. A durable identifier

Each label contains an identifier for a product, serial-numbered asset, lot, kit, bin, or location. Existing UPC, EAN, Code 128, Data Matrix, and QR labels may be usable, depending on the application.

For organizations that use GS1 identifiers, GS1 Digital Link provides a standardized way to express identifiers such as GTINs, serial numbers, batch numbers, and location numbers in a web address. This allows the code to act as a stable gateway to online information and services rather than storing all of that information on the label itself.

That distinction matters. The printed code should identify the thing. The software should decide what the scanner is allowed to see and do. Product content, prices, documents, destinations, and workflows can then change without replacing every label.

2. An identity and routing layer

When the code is scanned, the system resolves it to the correct record. It can also consider the customer, facility, user role, contract, and current status of the item.

A technician might see manuals and a service button. A customer’s authorized buyer might see negotiated pricing and ordering terms. An internal maintenance manager might see service history and an open-work-order form. Unknown codes can be logged so the catalog team can map them later.

3. The system of record

The ERP, inventory platform, product information system, or asset-management system should remain the authoritative source for the data it owns. The scan experience does not need to replace those systems. It can provide a simpler mobile interface and pass structured information between them through APIs, webhooks, or scheduled synchronization.

This is where the operational work matters most: defining which system owns product data, inventory, customer pricing, approvals, service history, and order status. A reliable integration needs a clear data map, error handling, access controls, and a plan for keeping systems synchronized.

4. The transaction or request workflow

There is no single correct commerce layer.

A manufacturer with unusual pricing, configuration, or approval requirements may need a custom application. Stripe can support a custom payment experience and connect payment events back to an ERP. The most immediate improvement is speed. The worker begins with the physical item and lands on the correct digital record without navigating a catalog or waiting for someone else to identify it.

The broader value comes from the structure of the information captured along the way:

  • Requests arrive with a known part, quantity, facility, contact, and reason.
  • Sales teams spend less time deciphering photos, voicemails, and incomplete emails.
  • Purchasing teams retain their approval rules while receiving cleaner requests.
  • Service teams can see the asset and relevant history before responding.
  • Customers get a direct route back to the original manufacturer or distributor.
  • Manufacturers gain data about which products are scanned, requested, serviced, and reordered.

Over time, those interactions can reveal recurring failures, documentation gaps, common compatibility questions, and demand patterns. A label that begins as a convenience can become a useful source of operational and product insight.

Start With One Workflow

The best first version is usually narrow. Choose a group of products with a clear problem and a measurable outcome: frequently replaced components, consumables that cause downtime when they run out, field equipment with hard-to-find documentation, or parts that generate repeated identification calls.

Then define the complete path:

  1. What exactly does the code identify?
  2. Who will scan it?
  3. What should that person be able to see?
  4. What action should they take?
  5. Who approves or responds?
  6. Which system owns each piece of data?
  7. How will success be measured?

Useful measures may include time from failure to request, incomplete-request rate, incorrect-part rate, quote turnaround time, reorder conversion, support contacts per order, and adoption by customer or facility.

The Physical Product Becomes the Interface
